Buyer's guide

How to choose an AI calling company: a buyer's checklist

Most AI calling demos sound impressive. The differences show up later: in setup, in support, in what happens to your data and in the bill. This checklist helps you compare providers on what will matter after you sign.

The chat opens in a new tab. No sign-up needed.

Short answer

To choose an AI calling company, start from your own calls, then compare providers on a live demo in your language, how they set up and test your script, live transfer to your team, records of every call, data handling, support after launch and a billing model you can explain. Run a short pilot with one call type before you commit. Be wary of anyone who promises guaranteed sales.

Why should you start with your own calls, not the vendor?

Before any demo, write down three things: which calls you want to automate first, what a successful call looks like, and who in your team will receive the people the agent hands over. With that on one page, every conversation with a provider becomes a test of whether they can do your job, rather than a tour of their features.

A clear brief also stops scope creep. "Call every new enquiry within the day and book a visit" is something you can measure. "Use AI for sales" is not.

Which questions should you ask on the first call?

  • Can I hear a demo in my language, using my own call, not a stock example?
  • What exactly happens between signing and the first live call, and how long does it usually take?
  • Who writes and reviews the script, and how quickly can a line be changed later?
  • What does my team receive after each call?
  • How does a live transfer work, and what if nobody picks up?
  • How are recordings, transcripts and my customer list stored, and who can access them?
  • How is the service billed, and what is not included?
  • Who do I call when something goes wrong, and at what hours?

How do you compare quotes fairly?

Quotes are hard to compare because providers bill in different units: per minute, per second of talk time, per connected call or as a monthly plan. Some round every call up to a full minute; some charge for setup, extra languages or numbers separately. Put each quote into the same shape before comparing: the billing unit, how short and unanswered calls are charged, what setup includes, what is extra, and how long any prepaid balance stays valid.

Then compare on cost per useful outcome, such as cost per qualified lead or per booked visit, using your own volumes. AI calling cost and ROI has a calculator that uses only your figures.

How do you run a pilot, step by step?

  1. Choose one call type

A common, repetitive call with a clear outcome, such as following up new enquiries.

  2. Agree success in writing

For example: reached, qualified, booked and transferred, measured per batch.

  3. Review the script together

Every line approved by you, in the languages your customers use.

  4. Test with your staff

Wrong numbers, busy replies, price questions and requests for a person.

  5. Call a small live batch

People who expect your call, in normal calling hours.

  6. Review recordings and summaries

Fix what confused people, then run the next batch.

  7. Decide with evidence

Scale up, change the call type, or stop, based on outcomes rather than impressions.

What are the red flags?

  • Guaranteed sales, guaranteed pickup rates or guaranteed conversion. Results depend on your list, offer and follow-up.
  • No demo in your language, or a demo that cannot be interrupted.
  • Pressure to call purchased or scraped lists. Calling people without consent hurts your brand and breaks telecom rules.
  • Vague answers about who owns and can access your recordings and customer list.
  • No testing step before real customers are called.
  • A bill with units, rounding or extras that you cannot explain after one reading.

What should the agreement and onboarding cover?

Before you sign, make sure the practical details are written down, not just agreed on a call. They are what you will rely on when something changes later.

  • Script approval. Nothing goes live, and no line changes, without your approval.
  • What is included in setup. Script review, voice and language setup, call routing, transfer and test calls, listed plainly.
  • Billing rules. The unit, the rounding, any validity period and anything charged separately.
  • Your data. Your list and recordings are used only for your campaigns, and how they are removed when you ask.
  • Support. Who to contact, on which channels and in which hours, and how quickly a script change is made.
  • Calling rules. Calling hours, retry limits and how opt-outs are honoured.
  • Onboarding steps. What you provide, what the provider does, and when the first test call happens.

If any of these are hard to get in writing, treat it as a warning sign rather than a formality.

What does a good provider ask you?

You can learn a lot from the questions a provider asks. A careful one wants to know where your list comes from and whether people expect your call, what your team does with a transferred lead, which hours your customers are free, and which questions they ask most. A provider that skips straight to volume and price is usually planning a broadcast, not a conversation.

Does it matter which city the provider is in?

Less than it used to. Setup, script reviews and support can happen by phone, WhatsApp and video call, so a business in Indore, Kochi or Guwahati can work well with a team elsewhere. What matters is that the provider understands your customers: the languages they speak, the hours they keep and the way they talk about your product. A builder in Thane, a coaching centre in Kota and a clinic in Hyderabad need different scripts even when the technology is the same.

Sector guides can help you brief any provider: real estate, education, clinics and hospitals, car dealers and insurance and loans.

Questions people ask

How do I choose an AI calling company?

Start from your own calls, then compare providers on a live demo in your language, setup and testing, live transfer, call records, data handling, support and a billing model you can explain. Run a short pilot before committing.

What should I ask in an AI calling demo?

Ask to hear your own call in your language, to interrupt the agent, to switch language mid-call and to see a live transfer and a sample call summary.

Is a cheaper per-minute rate always better?

No. Compare billing units, rounding, setup and extras, then cost per qualified lead or booking with your own volumes.

How long should a pilot be?

Long enough to call a few small batches and review recordings between them, so you see results after the script has been improved.

Should I avoid providers that guarantee results?

Be careful. Results depend on your list, offer, timing and follow-up, so an honest provider will talk about what it controls and what you control.

Does the provider need to be in my city?

Not necessarily. Setup and support work well by phone, WhatsApp and video call. What matters is that they handle your customers' languages and calling hours.

Who is responsible for consent and DND?

The business that owns the list. A good provider will ask about your list and respect opt-outs, but building a lawful, consent-based list is your responsibility. This is not legal advice.

Can an AI calling company connect to my CRM?

Sometimes. Integrations are usually checked for feasibility case by case, and many businesses start with simple list uploads and exports.
